This policy explains what information DuesBox collects, why we collect it, and the choices you have.

Who we are

DuesBox ("DuesBox", "we", "us") provides membership dues management software for associations, nonprofits, chambers, societies, clubs, and similar organizations. This policy covers our website and the DuesBox application.

Information we collect

  • Account information. Your name, email address, profile photo, and organization details when you create an account or sign in with Google.
  • Member records you upload. Contact details, membership plans, join and renewal dates, and payment status for the people your organization manages. This data belongs to your organization; we process it on your behalf.
  • Payment information. Subscription and dues payments are processed by our payment provider. We receive metadata such as amount, status, and the last four digits of a card. We never store full card numbers.
  • Usage information. Log data such as IP address, browser type, pages viewed, and timestamps, used to keep the service secure and working.

How we use information

  • To provide, maintain, and improve the DuesBox service.
  • To collect dues, send renewal reminders, and issue receipts on your organization's behalf.
  • To authenticate users and protect accounts against abuse and fraud.
  • To send service notices, and — with your consent — product updates.

We do not sell your data, and we do not use the member records you upload to advertise to your members.

Service providers

We rely on a small number of vendors to run DuesBox: cloud hosting and database infrastructure, our payment processor, and email delivery. Each only receives the data needed to perform its function.

Data retention

We retain your account and member data for as long as your account is active. If you delete your organization or close your account, we delete or anonymize the associated data within 30 days, except records we must keep for tax, accounting, or legal reasons.

Security

Data is encrypted in transit, access to production systems is restricted, and organization data is isolated so that one organization cannot read another's records. No system is perfectly secure, but we work to protect your information and will notify you of any breach affecting your data as required by law.

Your rights

You can access, correct, export, or delete your account data from within DuesBox, or by emailing us. Depending on where you live, you may also have the right to object to or restrict certain processing, and to lodge a complaint with a data protection authority.

Children

DuesBox is not intended for children under 13, and we do not knowingly collect their personal information as account holders.

Changes to this policy

We may update this policy as the product evolves. Material changes will be announced in the app or by email before they take effect.
